CrowdShare, LLC (“CrowdShare,” “we,” “us,” “our”) provides a social media marketing, publishing, scheduling, collaboration and analytics platform (the “Services”). This Privacy Policy explains how we collect, use, disclose and safeguard information when you visit our website, use our Services or connect third party social media accounts such as Meta (Facebook and Instagram), TikTok, X, LinkedIn and YouTube (collectively, “Third Party Platforms”).

This Privacy Policy applies globally. Depending on where you live, you may have additional rights described in the Region Specific Disclosures section.

If you are using CrowdShare on behalf of a company or organization, “you” includes both you and that organization.

2. Key Definitions

• Personal Data means information that identifies, relates to, describes or can reasonably be linked to an individual.

• Processing means collecting, using, storing, sharing or otherwise handling data.

• Content means text, images, video, audio, links and other materials you upload, draft, schedule or publish using the Services.

• Connected Account means a social media account you connect to CrowdShare through a Third Party Platform authorization flow.

3. Information We Collect

We collect information in three main ways: (1) information you provide, (2) information collected automatically and (3) information obtained from Third Party Platforms when you connect accounts or use platform integrations.

3.1 Information You Provide to Us

Account and profile information

• Name, username, company name

• Email address, phone number (optional)

• Billing contact information

• Preferences and settings

Payment and billing information

• Subscription plan, invoices, billing address

• Payment method details are typically processed by our payment processor. We generally do not store full payment card numbers.

User generated content and files

• Drafts, captions, hashtags, media files and creative assets you upload

• Comments, notes, approvals and other collaboration inputs

• Brand assets you store in the platform (logos, templates, style guides)

Support, sales and communications

• Messages and attachments you send to support

• Survey responses, feedback and testimonials you submit

• Information you provide during onboarding, demos or training

3.2 Information We Collect Automatically

Device and usage data

• IP address, browser type, device identifiers, operating system

• Pages visited, features used, clicks, session duration, referring URLs

• Crash logs, performance metrics and diagnostic data

We use cookies, pixels and similar technologies for authentication, security, analytics, product improvement and to remember your preferences. See the Cookies and Tracking section for details and choices.

3.3 Information We Receive From Third Party Platforms

When you connect a Third Party Platform account, the platform may share data with us based on (a) the permissions you grant, (b) the account type, (c) the platform’s policies and (d) the platform’s product capabilities. We only request the minimum permissions needed for the features you enable.

Depending on the platform and permissions granted, we may receive or access:

Account and identity signals

• Platform user ID, page ID, channel ID, organization ID

• Display name, handle, profile picture

• Account type, locale, time zone (where available)

Publishing and media access

• Ability to publish posts, upload media or schedule content where supported

• Post metadata (post ID, timestamp, caption, media type)

• Draft status information where relevant

Engagement and analytics

• Aggregated metrics such as impressions, reach, views, engagement, clicks, watch time and follower counts

• Post level performance metrics and historical analytics where available

Inbox and interaction data (only if you enable related features and the platform permits it)

• Comments, mentions, replies, messages or review threads

• Author identifiers and message content associated with those interactions

Important notes:

• Some platforms restrict what developers may store, for how long and how it must be deleted. We design our retention and deletion processes to honor platform rules and user requests.

• Third Party Platforms process data under their own terms and privacy policies. Your use of those platforms is governed by their policies, not ours.

4. How We Use Information

We use Personal Data for the following purposes:

Provide and operate the Services

• Create and manage accounts

• Authenticate users and prevent unauthorized access

• Enable publishing, scheduling, collaboration and asset management

• Deliver analytics, dashboards and reporting

Connect to Third Party Platforms

• Verify authorization and maintain token based connections

• Retrieve data needed to display your accounts, posts and metrics

• Publish content on your behalf when you initiate publishing actions

Customer support and communications

• Respond to requests and troubleshoot issues

• Provide onboarding, training and feature updates

• Send service messages such as billing notices, security alerts and policy updates

Improve and develop the Services

• Analyze usage patterns to improve features, reliability and performance

• Debug, conduct quality assurance and test new functionality

• Conduct research and product development using aggregated or de identified data where feasible

Security, fraud prevention and legal compliance

• Detect and prevent spam, abuse and unauthorized activity

• Protect the integrity of our Services and Connected Accounts

• Comply with legal obligations and enforce our terms

Marketing (limited)

• Promote CrowdShare to prospective customers via our own channels

• Measure website conversions and campaign performance
  You can opt out of marketing communications at any time via unsubscribe links or by contacting us.

5. Legal Bases for Processing (EEA, UK and Similar Jurisdictions)

Where required by law, we rely on one or more of the following legal bases:

• Contract: to provide the Services you request

• Legitimate Interests: to secure, improve and market our Services, prevent fraud and maintain business operations (balanced against your rights)

• Consent: for certain cookies, marketing in some jurisdictions and for connecting Third Party Platform accounts via authorization flows

• Legal Obligation: to comply with applicable laws, lawful requests and regulatory requirements

You may withdraw consent at any time for processing based on consent. Withdrawal does not affect the lawfulness of prior processing.

6. How We Share Information

We do not sell your Personal Data in the traditional sense. We share information only as described below.

6.1 Service Providers and Processors

We share data with vendors that help us operate the Services, such as:

• Cloud hosting and infrastructure providers

• Analytics and logging providers

• Customer support platforms

• Payment processors

• Email and communication providers

• Security, fraud prevention and monitoring vendors

These vendors are authorized to process data only as necessary to provide services to us and must protect it.

6.2 Third Party Platforms You Connect

When you use a Connected Account, information is shared with the relevant Third Party Platform to perform actions you request, such as publishing a post or pulling analytics. The platform may also log or process these actions under its own policies.

6.3 Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy or sale of assets, your information may be transferred as part of that transaction, subject to applicable law and appropriate protections.

6.4 Legal and Safety

We may disclose information to comply with law, regulation, subpoena, court order or other legal process, or to protect rights, safety and security of CrowdShare, our users or others.

6.5 With Your Direction

We share information when you request it, such as exporting reports, inviting teammates, connecting integrations or enabling public sharing features.

7. Data Retention

We retain Personal Data only as long as necessary for the purposes described in this Privacy Policy, including to provide the Services, comply with legal obligations, resolve disputes, enforce agreements and meet platform requirements.

Typical retention considerations include:

• Account data: retained while your account is active and for a reasonable period after closure to allow reactivation, backups and dispute resolution

• Content and assets: retained per your settings and while you maintain them, then deleted or de identified consistent with our deletion processes

• Third Party Platform data: retained only as needed to provide the enabled features and consistent with platform policies, permission scopes and contractual requirements

• Logs and security records: retained for security, fraud prevention and troubleshooting for a limited period

You may request deletion as described below.

8. Data Deletion and Account Closure

You can request deletion of your CrowdShare account and associated data by:

• Using in app deletion tools if available, or

• Emailing us at [privacy@crowdshare.com] with “Data Deletion Request” in the subject line

After verifying your request, we will delete or de-identify data as required by law and as technically feasible. Some data may be retained for legal compliance, fraud prevention, security or legitimate business purposes.

Connected Accounts: You can also revoke our access at any time through the relevant Third Party Platform’s settings. Revoking access may prevent us from providing connected features. Some platform data that was previously retrieved may remain in our systems until deleted under our retention schedule or your deletion request.

9. Security

We use reasonable administrative, technical and organizational safeguards designed to protect Personal Data, such as access controls, encryption in transit and monitoring for suspicious activity. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

• Keep you signed in and maintain sessions

• Remember preferences and settings

• Provide security protections

• Understand usage and improve the Services

14. Region Specific Disclosures

14.1 EEA, UK and Switzerland (GDPR and UK GDPR)

You have the rights described above, including the right to object to processing based on legitimate interests and to lodge a complaint with your local supervisory authority. If you are in the EEA, you may contact your local Data Protection Authority. If you are in the UK, you may contact the Information Commissioner’s Office.

14.2 United States (State Privacy Laws)

If you reside in a state with privacy laws such as California, Colorado, Connecticut, Utah, Virginia or others, you may have rights to access, delete, correct and opt out of certain processing. CrowdShare does not sell Personal Data for money. We may use limited forms of online analytics and advertising that could be considered “sharing” under some laws. Where required, we provide opt out mechanisms.

California Notice

• Categories collected: identifiers, commercial information, internet activity, account credentials, content you provide and inferences for product improvement

• Purposes: providing services, security, analytics, customer support, marketing, legal compliance

• Sensitive Personal Information: we do not intentionally collect sensitive personal information for the purpose of inferring characteristics about you. If you provide it in content or support messages, we process it only to provide the Services and support.

14.3 Brazil (LGPD)

16. Platform Specific Notices (Meta, TikTok, X, LinkedIn, YouTube)

CrowdShare integrates with Third Party Platforms to provide publishing, scheduling and analytics features. When you connect an account, you authorize us to access certain data and perform actions as permitted by the platform and your granted permissions.

We commit to the following principles:

• We only request permissions necessary for the features you enable

• We use platform data only to provide and improve the Services, support our users and maintain security

• We do not use platform data for unauthorized profiling, scraping or surveillance

• We do not sell platform data

• We provide a way for users to request deletion of data we process in connection with platform integrations

• We maintain reasonable security controls to protect platform data

• You can revoke access at any time through the platform settings

YouTube and Google Data
If you connect YouTube or other Google services, your use of those integrations is also subject to Google’s terms and policies. CrowdShare’s use and transfer of information received from Google APIs will adhere to applicable Google API data requirements.

We may update this Privacy Policy from time to time. We will post the updated version with a new “Last Updated” date. If changes are material, we will provide additional notice as required by law.
